Set up your venue

You can now create and manage your venue down to the room and table, each individually configurable.

You can drop pins for each room on the venue map and for each table on the room map, giving your attendees detailed information about where each event or game is happening.

To set up your venue:

  1. Go to your event page,
  2. Tap Manage.
  3. Select Venue.

If you make a copy of this event or made it a repeating event when you created it, the venue, rooms, and tables you create will also be copied to the next event.

Create a room

Once in the venue menu, tap Add room to ****start creating your venue rooms. This may be top level (i.e. the venue) or a room in the venue.

  1. Room name

    It’s a good idea to keep the room names the same as they appear on the venue map.

  1. Description

    This is usually a description of the sorts of things you’ll find in this room.

  2. Map or floor plan

    Upload your floor plan for the room or the map with the room marked.

  3. Options

    1. Hide when creating events

      Toggle if you don’t want anyone (even admins) to be able to create events in this room.

    2. Hide on event schedule items

      Toggle so that this is not one of the rooms by which you can sort the schedule.

    3. Disable for attendee events

      Toggle so that attendees cannot schedule anything in this room (but admins and people submitting official games still can).

    4. Disable for submissions

      Toggle so that submissions cannot be planned here.

Tap Create room at the top to create your room. You can edit it later, as usual.

Create a table

Once you’ve got at least one room, you can start adding tables. Tables have settings so you can set what’s allowed to be planned at each table.

To make your first table, open the room from the list and Add table.

  1. Table name

  2. Description

    This is usually a description of the sorts of things that will happen at the table.

  3. Drop a pin on the room or venue map to show where attendees can find this table.

  4. Options

    Disable for attendee events

    Toggle to keep this table reserved for official events and submissions.

    Disable for submissions

    Toggle to keep this table reserved for official events.

Tap Create table at the top to add this to your table list.

Manage your venue

In case you need to fix, update, or add to your venue, access is the same as when you set it up.

  1. Go to your event page,
  2. Tap Manage.
  3. Select Venue.

From there, edit the location (pencil icon) or open any room to edit its details and see a list of tables in that room.

Add another room with the button at the bottom.
